How we design conference room audio

Listen to the room

We survey the room with the finishes in mind: glass, hard ceilings, stone floors and polished tables all reflect sound. We note the air conditioning noise, the neighbours and where people sit, because the design has to work for the real table, not the one on the drawing.

Pick-up, then playback

Microphones come first. For most rooms up to ten people the bar or table pickup is enough. For boardrooms we design ceiling microphone arrays that cover every seat with nothing on the table. Speakers are then placed so the far end is heard evenly along the table, not loudly at one end.

DSP and echo cancellation

A digital signal processor sits between the microphones, the speakers and the room system. It cancels the echo of the far end coming back through the microphones, controls levels and shapes the sound for the room. Tuned properly, the people on the call forget the technology is there.

Treat the glass

No processor fixes a room that rings. We work with the fit-out team on acoustic treatment: absorptive ceiling rafts, panels on the wall opposite the glass, soft finishes where they are acceptable. Done at design stage it disappears into the interior. Iconic Care™ then monitors the room and logs any fault as a ticket.

Sonance Professional Series ceiling and pendant speakers

For the speaker side of a conference room we specify the Sonance Professional Series: commercial in-ceiling and pendant speakers running on 70V or 100V lines, so one amplifier can drive a whole floor of rooms and corridors with simple cabling. Powder-coated aluminium grilles suit a finished office ceiling.

In an open ceiling or a double-height town hall space the pendant models hang at the right height for even coverage. In a tiled or plasterboard ceiling the in-ceiling models sit flush. Either way the aim is the same: the far end heard at the same level at every seat.

Crestron DM NAX audio over IP

Where audio needs to move around a building, between floors, from a town hall space to overflow rooms or from a boardroom to the reception, we use Crestron DM NAX. It carries audio over the standard network using AES67, and it works with Dante systems, so a floor can be added later by adding a network point rather than running new analogue cable.

DM NAX streaming amplifiers and audio edge devices live in the comms room and drive the ceiling speakers in each zone. As a Crestron dealer we program it alongside the room control, so a town hall feed to three floors is one button, not a technician.

Crestron Flex Pods

Crestron Flex Pods are wireless tabletop microphone and speaker pods using DECT, with up to four pods on one Flex Pod Hub connected by USB to the room system. They are certified for Microsoft Teams Rooms, so they drop into a Flex room or a boardroom without a second control system.

They suit rooms where a ceiling array is not possible, where the table is reconfigured often, or where a long table needs pickup along its full length. The pods charge on the table and can be moved when the furniture is.

Best for: Long boardroom tables, reconfigurable training rooms and rooms where the ceiling cannot be opened

Why does audio fail first in Dubai offices?

Glass. Dubai offices use more glass partitions and floor-to-ceiling windows than almost anywhere, and glass reflects sound straight back into the microphones. Add a hard ceiling, a stone floor and a polished table and the room has nothing to absorb the echo. Air conditioning running hard through summer adds a constant background hiss. The design has to allow for all of it.

Ceiling microphones or table microphones?

Ceiling arrays keep the table clear and cover every seat, and they are our first choice for boardrooms with a fixed table and a ceiling we can access. Table microphones or wireless pods win where the furniture moves, where the ceiling is very high or cannot be opened, or where the budget is tighter. Many rooms up to ten people need neither, because the video bar's microphones are enough.

What does the DSP actually do?

It cancels the acoustic echo, so the far end does not hear itself coming back through your microphones. It balances levels so a quiet speaker at the far end of the table is heard as clearly as a loud one near the camera, and it filters the frequencies where air conditioning noise lives. It also routes audio to the room system, so Teams sees one clean microphone and one clean speaker.

Can we fix a room that already sounds bad?

Usually, yes. We measure it, find out whether the problem is pickup, playback, processing or the room itself, and fix the cheapest thing first. Often it is a bar placed badly or echo cancellation never tuned. Where the room is the problem, acoustic treatment can be added to the ceiling or one wall without touching the rest of the interior.
